To Students
The last day to withdraw for the term or drop with a record (“W” on the transcript) has been extended from the original date of April 9 to May 8.
We understand this is another change in a process due to the COVID-19 pandemic and apologize for all the emails. The Academic Records Office has been working to update forms that will assist all students and how we require them to be completed. I have attached an updated Registration Action Form to not only assist with the request to drop courses but also overrides or exceptions with registration next week.
To Drop/Withdraw from a Course
- Registration Action Form with Signatures: this form is recommended for use as it allows us to verify that the appropriate signatures were collected and on what dates
- Registration Action Form Fillable: this form can be used for those that do not have an electronic signature created
- Students are still required to contact advisors, instructors and/or financial aid for approval before the request will be processed

To Students
In response to COVID-19 and under guidance from the North Dakota University System, with support of our president's cabinet and faculty, for this semester only, undergraduate students may request the S/U (Satisfactory/Unsatisfactory) grade option. We have modified an existing policy in efforts to continue to keep the students’ best interests in mind.
Policy:
All undergraduate students may request the S/U (Satisfactory/Unsatisfactory) grade option. The deadline to change a course from graded to S/U has been extended to May 8.
This is based on the following guidelines:
- Changes applies only to Spring 2020 course that have not yet ended
- The S/U option does not apply to graduate students
- Students can make the decision to change to S/U grading at any time up to 4:30pm on May 8th
- Students who receive approval to switch a course to S/U grading understand it is irreversible
- Students must contact their advisor by email, zoom, or phone before making any decisions to ensure they understand the implications of their decision
- Students must complete the online form to change to the S/U grading option, available on the Mayville State University website.
- Satisfactory/Unsatisfactory grades would apply to all courses included in the major, minor and essential studies
- Letter grades A-C are deemed Satisfactory and D-F’s are Unsatisfactory
Students do not need to take any action to receive the standard letter grade.
In terms of the process, students will complete an online form that will be available (at a later date) on the Mayville State University website that will provide a list of questions to confirm.

- A grade of S grants credit toward graduation
- Students must complete 100% of the course
- A grade of a “B” in the course today does not mean an S at the end of the semester.

- Students do not need to request this option for all the courses in which they are enrolled.

Form to request substitutions or waivers of academic requirements
The Academic Records Office is continuing to look into ways to make forms available for electronic completion. We now have the Substitution/Waiver form created to allow for advisors, division chair, and registrar's electronic signature. See link above.
Students still have the option to type in their signature and be considered official. We thought this was the best option for them so that they wouldn’t have to figure out how to create a signature. We are attempting to eliminate the number of email approvals that would be attached to a form and scanned into Perceptive Content and the students record. There should be no need to print the document for signatures any longer.
The process will ideally flow just as it did before, only now instead of walking the form from person to person, it will be completed through email. The student will sign the form first, then the advisor can sign and send to the division chair for their signature. Once those signatures have been completed, the form can be emailed directly to me for approval. I will then email the approved form to JoAnna for her to send to the student. This request will then be sent to Sharyl to complete the process and enter in Campus Connection.

In accordance with the coronavirus pandemic, the Mayville State business Office has set up program code 0COVD. This code will need to be recorded on all RFPs and P-Card transactions that are coronavirus-related for tracking purposes. At this time, there is no guarantee of reimbursement, but if there is an opportunity, we want to make sure we are ready to provide the extensive documentation either FEMA or the state would require.
Any expenses that were or are incurred because of COVID-19 need to be tracked. These expenses could include equipment, additional cleaning supplies, and more. There is not a program code option on the RFP form, so you are asked to write it below the account lines. When reconciling P-Cards, please enter OCOVD into the Prgm code box as you are entering the other funding information.
Additional time spent outside the normal work day, such as meetings to prepare for the transition, should also be tracked. This may not result in additional pay to the individual, but to the campus as a whole. Please send tracking information to Courtney Peterson. Please also direct any questions regarding this new coding to Courtney.

The Byrnes-Quanbeck library shares resources that faculty and staff may find helpful as they prepare to support students from a distance. If physical items are needed from the library's collection, the library staff will make arrangements to get those materials to the person requesting. Library staff are available to support virtually as well.

For the safety of audiences, the remaining concerts for the MSU and Community Fine Arts Series have been cancelled. This includes The Dover Quartet on April 6 and the bassoon chamber music concert on April 15.
Students involved in MUSC 200, 205, 210, and 215 will have this requirement replaced with an equally suitable (and CDC friendly) task.

As a measure of health and safety, Mayville State has made the decision to lock the residence halls. This decision is not meant to be an inconvenience, but rather it has been made to help mitigate coronavirus risk. The health and safety of our students, faculty, and staff are our top priorities. Students who had spring semester access will find their ID cards no longer work. The North Dakota University System has waived the ACT/SAT test score requirement for admission for those enrolling for the fall semester of 2020 as well as the summer session of 2020.

The Village Business Institute Employee Assistance Program serves Mayville State University and its employees. The Village continues to offer face-to-face web-based counseling during the current COVID-19 pandemic. The health and well-being of Mayville State employees is of utmost importance. This includes not only the physical well-being of employees, but the psychological health as well. The Village has created two documents that will provide helpful guidance in decreasing anxiety.

For this week, the Child Development Programs are offering their normal childcare services at all sites, with the exception of the sites at North Dakota School for the Blind in Grand Forks, Central Valley Public School, and Hillsboro Public School. Head Start and Early Head Start program options are closed at all sites. The Central Valley and Hillsboro school sites are closed due to the governor’s mandate to close K-12 public schools. Parents with children enrolled in the Central Valley and Hillsboro school sites have been offered the opportunity to take their children to one of the other sites.

Student registration requests
Students should initiate the request with the attached form. If a student makes a request to drop a course, please be responsive and help move the form along through to the appropriate people to assist our students. Registrar Heather Hoyt will allow students to go through Katie Richards to make contact with faculty if they are on campus. Dr. Pflipsen and Dr. Such will also be able to approve the requests for students.
Important dates and deadlines for the upcoming weeks:
- March 13 – last day to add 2nd 8 week session courses. Last day to drop 2nd 8 week session courses without a record.
- March 21 – last day to withdraw from 2nd 5 week block NURS courses.
- April 4 – last day to add 3rd 5 week block NURS courses. Last day to drop 3rd 5 week block NURS courses without a record.
- April 7 – registration for summer and fall 2020 begins.

Mayville State University will implement temporary teaching and learning practices beginning March 14 in response to COVID-19 (coronavirus). Additional details continue to be developed, and more information will be promptly communicated as it becomes available. It will be very important to check your email frequently!
The health and well-being of students, faculty, and staff are top priorities. The following action are being taken to help limit the COVID-19 risk on campus:
- All on-campus classes will be moved online, effective March 14 through April 5, 2020
- Mayville State will remain open and operational during this time; however, some offices and services may be provided remotely
- On-campus classes will resume Monday, April 6, 2020, pending further assessment
Mayville State University will continue to fulfill its mission by ensuring students are able to meet their educational requirements and faculty are able to continue their research and scholarship. All campus facilities will continue to operate.
